2. Information we may collect
When you use the booking-interest form, we receive your name, email address, and any phone number or message you choose to provide. If you separately opt in, we may also use your contact details to tell you about future retreats and similar events.
When you later book a retreat, we may also need booking, payment, invoicing, correspondence, dietary, allergy, accessibility, or other practical information needed to arrange and safely provide the retreat.
Photos and video may be taken during a retreat. Recognisable promotional use is optional and is covered by a separate choice collected at the retreat.
Our service providers may receive standard technical information needed to provide and protect their services, such as IP address, browser/device information, security logs, or submission metadata.
3. Why we use your information
- To reply to enquiries and provide booking information.
- To arrange bookings, payment, accommodation, meals, and retreat communications.
- To meet accounting, tax, consumer-protection, and other legal obligations.
- To prepare safely for dietary, allergy, accessibility, and other practical needs.
- To send future-retreat updates only where you have separately opted in.
- To use recognisable photographs or video for promotion only where you have separately agreed.
For enquiries, we rely on steps taken at your request before entering into a contract and, where appropriate, our legitimate interest in handling genuine enquiries. For bookings, we rely on the contract and legal obligations. Where consent is required, you may withdraw it at any time.
4. Service providers
We use selected service providers to operate the website and handle enquiries, including Formspree for form submissions and Vercel for website hosting.
The website may also load external resources such as fonts or images from third-party providers. When this happens, those providers may receive standard technical connection data. We do not sell personal data.
Any email, accounting, payment, questionnaire, or other services used in the wider retreat operation will be handled in accordance with the organiser's responsibilities and applicable law.
5. How long we keep information
| Information | Typical retention |
|---|---|
| Enquiry where no booking follows | Up to 12 months after the last meaningful contact, unless separate marketing consent applies. |
| Future-retreat updates | Until you withdraw your consent. |
| Booking and ordinary retreat correspondence | Up to 3 years after the retreat. |
| Participant questionnaire information | Normally deleted within 30 days after the retreat, unless needed for an incident, complaint, or legal claim. |
| Accounting and tax records | For the period required by applicable law. |
| Photo/video consent records | While the relevant promotional material is used, with a minimal withdrawal record where needed. |
6. Your rights
Subject to the conditions in data-protection law, you may ask to access, correct, delete, or restrict the use of your personal data. You may also object to certain processing, request data portability where applicable, and withdraw consent at any time.
